1. Acceptance of Terms

These Terms of Service ("Terms") govern your access to and use of the Bifow web application and related services (the "Service") operated by Bifow ("we", "our", or "us").

By creating an account, connecting an email account, or otherwise using the Service, you agree to be bound by these Terms. If you do not agree to these Terms, you must not use the Service.

If you are using the Service on behalf of a business or other legal entity, you represent that you have the authority to bind that entity to these Terms, in which case "you" refers to that entity.

2. Description of the Service

Bifow is a software-as-a-service platform designed to automate supplier invoice management. The Service provides the following core functionalities:

  • Invoice detection. Bifow connects to your Gmail account via OAuth 2.0 and automatically scans incoming emails to detect supplier invoices based on attachment analysis and content filtering.
  • Data extraction. When a PDF invoice is detected, Bifow uses artificial intelligence to extract structured data from the document, including supplier name, invoice number, amounts, dates, and payment information.
  • Invoice forwarding. If you enable automatic forwarding, Bifow sends detected invoices from your Gmail account to accounting email addresses you designate (e.g., your accountant or your accounting software's intake address).
  • Invoice management. Bifow stores extracted invoice data and original PDF files, allowing you to view, search, and manage your invoices within the application.

The Service is provided on an "as is" and "as available" basis. We continuously work to improve the Service but do not guarantee that it will be uninterrupted, error-free, or available at all times.

3. Account Registration and Security

To use the Service, you must create an account by providing a valid email address and authenticating through our authentication provider. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.

You agree to provide accurate and complete information when creating your account and to keep this information up to date. You must notify us immediately if you become aware of any unauthorised use of your account.

We reserve the right to suspend or terminate any account that we reasonably believe has been compromised, is being used in violation of these Terms, or is associated with fraudulent activity.

4. Gmail Account Connection and Permissions

The Service requires you to connect a Gmail account via Google's OAuth 2.0 authentication. By connecting your Gmail account, you grant Bifow permission to access your Gmail data within the scope of the permissions you authorise.

Bifow requests the following permissions: read-only access to your email messages and attachments (to detect invoices), permission to send emails on your behalf (exclusively to forward invoices to addresses you configure), permission to receive real-time email notifications (to trigger automatic processing), and access to your Google account email address (for identification).

You may revoke these permissions at any time by disconnecting your Gmail account within the Bifow application or by removing Bifow from your Google account settings at https://myaccount.google.com/permissions.

Bifow's use of Google user data complies with the Google API Services User Data Policy, including the Limited Use requirements. For details, refer to Section 5 of our Privacy Policy at https://bifow.com/privacy.

5. Subscription Plans and Payment

5.1 Plans

The Service is available under several subscription plans, including a free tier with limited features and paid tiers with higher usage limits. The features and limits of each plan are described on the pricing page within the application.

5.2 Billing

Paid subscriptions are billed monthly in advance. Payment is processed by Stripe, our third-party payment processor. By subscribing to a paid plan, you authorise Stripe to charge the payment method you provide on a recurring monthly basis until you cancel.

Bifow does not store your credit card details. All payment information is handled directly by Stripe in accordance with PCI DSS standards.

5.3 Plan Changes

You may upgrade or downgrade your subscription plan at any time through the billing settings within the application. Upgrades take effect immediately. When you downgrade, the change takes effect at the end of your current billing period.

5.4 Cancellation

You may cancel your paid subscription at any time through the Stripe billing portal accessible from the application settings. Upon cancellation, your account will revert to the free plan at the end of your current billing period. No refunds are provided for partial billing periods.

5.5 Usage Limits

Each subscription plan includes a monthly limit on the number of invoices that can be processed. When you reach your plan's limit, new invoices will be detected but not processed until the next billing period or until you upgrade to a higher plan. You will be notified when you approach and reach your limit.

6. Acceptable Use

You agree to use the Service only for its intended purpose: managing supplier invoices received by email. You must not use the Service to process, store, or transmit content that is illegal, harmful, or violates the rights of third parties.

You must not attempt to gain unauthorised access to the Service, other users' accounts, or our infrastructure. You must not use automated tools (bots, scrapers, etc.) to access the Service beyond the APIs we provide. You must not reverse engineer, decompile, or disassemble any part of the Service.

You must not use the Service to send unsolicited emails, spam, or any communication that is not directly related to forwarding your invoices to addresses you have configured.

We reserve the right to suspend or terminate your account if we determine, at our sole discretion, that you have violated these acceptable use provisions.

7. Data and Privacy

Our collection, use, and protection of your personal data is governed by our Privacy Policy, available at https://bifow.com/privacy. By using the Service, you acknowledge that you have read and understood our Privacy Policy.

You retain ownership of your data, including the invoice data extracted by the Service and the original PDF files stored in your account. Bifow does not claim any ownership rights over your data.

You grant Bifow a limited, non-exclusive licence to process your data solely for the purpose of providing the Service. This licence terminates when you delete your account or disconnect your Gmail account.

8. AI-Powered Data Extraction

The Service uses artificial intelligence (provided by the OpenAI API) to extract structured data from invoice documents. While we strive for high accuracy, AI-based extraction is not infallible.

You acknowledge that extracted invoice data may contain errors or inaccuracies. You are responsible for reviewing extracted data before relying on it for accounting, tax, or financial purposes. Bifow provides a confidence score for each extraction to help you assess the reliability of the results.

Bifow is not an accounting service and does not provide accounting, tax, or financial advice. The Service is a tool to assist you in organising your invoices. You remain solely responsible for the accuracy of your accounting records.

9. Intellectual Property

The Service, including its software, design, features, documentation, and branding, is owned by Bifow and is protected by applicable intellectual property laws. These Terms do not grant you any rights to use our trademarks, logos, or other brand elements.

Your use of the Service does not transfer any ownership of intellectual property to you, except for the limited licence to access and use the Service as described in these Terms.

10. Service Availability and Support

We aim to maintain the Service available at all times, but we do not guarantee uninterrupted availability. The Service may be temporarily unavailable due to scheduled maintenance, updates, or unforeseen technical issues.

We will make reasonable efforts to notify you in advance of planned maintenance that may affect the Service. We are not liable for any loss or damage resulting from service interruptions.

Support is available via email at support@bifow.com. We aim to respond to support enquiries within a reasonable timeframe.

11. Limitation of Liability

To the maximum extent permitted by applicable law, Bifow shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, loss of data, business interruption, or loss of goodwill, arising out of or in connection with your use of the Service.

Our total aggregate liability for all claims arising out of or relating to these Terms or the Service shall not exceed the amount you paid to Bifow in the twelve (12) months preceding the claim.

Bifow is not liable for errors or inaccuracies in AI-extracted invoice data, delays in email processing, actions taken by third-party services (Google, Stripe, OpenAI), or any consequences arising from the forwarding of invoices to email addresses you have configured.

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law, including liability for fraud or wilful misconduct.

12. Indemnification

You agree to indemnify and hold harmless Bifow, its officers, directors, and employees from any claims, liabilities, damages, losses, or expenses (including reasonable legal fees) arising out of or in connection with your use of the Service, your violation of these Terms, or your violation of any third-party rights.

13. Termination

You may terminate your account at any time by requesting account deletion through the application settings or by contacting us at privacy@bifow.com. Upon termination, all your data will be deleted as described in our Privacy Policy.

We may suspend or terminate your account at any time if you violate these Terms, if your account is associated with fraudulent or illegal activity, or if we are required to do so by law. We will notify you of any termination unless we are legally prohibited from doing so.

Upon termination, your right to use the Service ceases immediately. Sections of these Terms that by their nature should survive termination (including limitation of liability, indemnification, and governing law) will continue to apply.

14. Modifications to These Terms

We may update these Terms from time to time. When we make material changes, we will notify you by email or by posting a notice within the application at least 14 days before the changes take effect.

Your continued use of the Service after the effective date of the revised Terms constitutes your acceptance of the changes. If you do not agree to the revised Terms, you must stop using the Service and delete your account.

15. Governing Law and Dispute Resolution

These Terms are governed by and construed in accordance with the laws of France, without regard to its conflict of laws provisions.

Any disputes arising out of or in connection with these Terms or the Service shall be submitted to the exclusive jurisdiction of the courts of Paris, France, unless you are a consumer entitled to bring proceedings in the courts of your place of habitual residence under applicable consumer protection laws.

16. Miscellaneous

Entire agreement

These Terms, together with our Privacy Policy, constitute the entire agreement between you and Bifow regarding the Service.

Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

Waiver

Our failure to enforce any right or provision of these Terms shall not constitute a waiver of that right or provision.

Assignment

You may not assign or transfer your rights under these Terms without our prior written consent. We may assign our rights and obligations under these Terms in connection with a merger, acquisition, or sale of assets.
